By accessing or using the RotaryReports platform ("Service"), operated by BastasDesign ("we", "our", "us"), you agree to be bound by these Terms of Use. If you do not agree to these terms, please do not use the Service.
2. Description of Service
RotaryReports is a web-based reporting and data management platform designed for Rotary clubs, districts, and regional leadership. The Service provides tools for report collection, dashboard analytics, benchmarking, and data export across Rotary organizational levels.
3. Account Registration
To access the platform, you must create an account with accurate and complete information. You are responsible for:
- Maintaining the confidentiality of your login credentials
- All activities that occur under your account
- Notifying us immediately of any unauthorized use of your account
- Ensuring the information in your profile remains accurate and up to date
4. Permitted Use
You agree to use the Service only for lawful purposes related to Rotary reporting and organizational management. You may not:
- Use the Service for any illegal or unauthorized purpose
- Attempt to gain unauthorized access to other accounts or systems
- Interfere with or disrupt the Service or its infrastructure
- Upload malicious code, viruses, or harmful content
- Scrape, crawl, or use automated tools to extract data from the platform without permission
- Sublicense, resell, or redistribute the Service to third parties
- Misrepresent your identity or Rotary role within the platform
5. Data Ownership
You retain full ownership of all data, reports, and content you submit to the platform. By using the Service, you grant us a limited license to store, process, and display your data solely for the purpose of providing the Service.
We do not claim any intellectual property rights over your content. Upon termination of your account, you may request an export of your data.
6. System Configuration
Each RotaryReports deployment is configured specifically for the subscribing organization. Configuration includes:
- Custom subdomain setup (e.g., d2430.rotaryreports.com)
- Form templates tailored to the organization's reporting needs
- Role-based access control matching the organizational hierarchy
- Dashboard and reporting parameters
Configuration details are agreed upon during the onboarding process and may be modified upon request.
7. Service Availability
We strive to maintain high availability of the Service. However, we do not guarantee uninterrupted access. The Service may be temporarily unavailable due to:
- Scheduled maintenance (with advance notice when possible)
- Emergency security updates
- Circumstances beyond our reasonable control
8. Payment and Subscription
RotaryReports pricing is configured per organization based on system requirements. Payment terms are outlined in the individual service agreement for each subscriber. We reserve the right to modify pricing with 30 days advance written notice.
9. Intellectual Property
The Service, including its design, code, features, logo, and documentation, is the intellectual property of BastasDesign and is protected by applicable copyright and trademark laws. You may not copy, modify, distribute, or create derivative works based on the Service without our written consent.
10. Limitation of Liability
To the maximum extent permitted by law:
- The Service is provided "as is" without warranties of any kind, express or implied
- We are not liable for any indirect, incidental, special, consequential, or punitive damages
- Our total liability shall not exceed the amount paid by you for the Service in the preceding 12 months
- We are not responsible for data loss resulting from circumstances beyond our reasonable control
11. Termination
We may suspend or terminate your access to the Service if you violate these Terms. You may terminate your account at any time by contacting us. Upon termination:
- Your right to access the Service ceases immediately
- You may request an export of your data within 30 days
- We will delete your data after the 30-day retention period unless legally required to retain it
12. Disclaimer — Rotary International
RotaryReports is an independent software product developed by BastasDesign. It is not affiliated with, endorsed by, or officially connected to Rotary International or The Rotary Foundation. The Rotary name and related terminology are used solely to describe the intended audience and functionality of the platform.
13. Governing Law
These Terms shall be governed by and construed in accordance with applicable laws. Any disputes arising from these Terms or the use of the Service shall be resolved through good-faith negotiation. If a resolution cannot be reached, disputes shall be submitted to the competent courts.
14. Changes to Terms
We reserve the right to modify these Terms at any time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the Service after changes constitutes acceptance of the revised Terms.
